1. About Booko and these terms
Booko is a venue-finding concierge operated by Booko Ltd (“Booko”, “we”, “us”), a company registered in England and Wales under company number 16562915. Through the Booko website and any related apps (the “Platform”) we help people planning group dining, celebrations and private hire (“Organisers”, “you”) discover venues and event spaces, and we send enquiries to venues on your instruction.
These Terms and Conditions (“Terms”) govern your use of the Platform. By using the Platform you agree to them. If you do not agree, please do not use the Platform. Our Privacy Policy explains how we handle personal information and forms part of these Terms.
These Terms replace earlier versions of Booko’s terms. The service described here is different from Booko’s earlier restaurant booking and deal platform; provisions about bids, deal drops, card authorisations, deposits and no-show fees no longer apply.
2. What Booko does and does not do
Booko is an introduction and enquiry service. We:
- collect and present information about venues and their event spaces, showing where each fact came from and how confident we are in it;
- let you shortlist spaces and describe your event;
- on your instruction, write and send an enquiry email to each venue you select, and receive the venue’s reply into your Booko workspace;
- present the replies, including an AI-assisted reading of their commercial terms, so you can compare them;
- with your approval, introduce you to your chosen venue using the contact details shown in the preview; and
- let you keep next-step notes and report whether you booked directly.
When you confirm a venue, we treat your event as booked with it. If that venue manages its Booko listing, after the event we tell it the event date, the space and a booking reference and ask it to confirm the booking’s value, because venues pay Booko commission on bookings. This never changes what you pay the venue. After your event we ask you how it went: the venue sees your star rating and comment, which are not published, and if you tell us the event didn’t go ahead we withdraw the request for its value. Replies to an approved introduction go directly to your email. Conversations outside Booko do not automatically appear in your workspace. A booking shown in Booko is not independent confirmation that the venue has accepted it. Closing an enquiry does not cancel a booking or release a hold.
Booko is free for Organisers. Booko does not take bookings, hold dates, collect payments or deposits from Organisers, set venue prices, or act as agent for any venue. Any booking, contract, payment or cancellation is agreed directly between you and the venue, on the venue’s own terms. We are not a party to that agreement and do not guarantee that a venue will reply, be available, honour a quote or provide any service.
3. Eligibility and accounts
You may browse the Platform without an account. To have enquiries sent on your behalf you must sign in using a one-time link sent to your email address. You must be at least 18 years old and able to enter into contracts with venues. If you use Booko on behalf of an organisation you confirm you are authorised to do so.
Keep your email account secure; anyone with access to it can access your Booko workspace. Tell us promptly at support@booko.email if you believe your account has been used without your permission. You can delete your account at any time from the account menu, or ask us to by emailing us from the address you sign in with. Deleting your account closes your open enquiries and sends venues we emailed a short cancellation note; it does not cancel any booking you have made directly with a venue.
4. Enquiries sent on your behalf
When you ask Booko to contact venues you are instructing us to send an email to each venue you have selected, in Booko’s name and on your behalf. It contains the summary of your request shown on the review screen, a table of your event details (for example headcount, date or date range, start time, area, requested spaces and requirements) and a unique reply address. The summary is drafted by AI; you can edit it before sending, and the version you send is the one you approved. Your original wording is not sent. You confirm that the request is accurate and that you intend to consider the venues’ replies in good faith.
We send one enquiry per venue per request. We will not send an enquiry without your explicit, recorded instruction, and we will not send to venues you have not selected. Once an email has been accepted by the venue’s mail service it cannot be recalled.
You may close an enquiry with one venue, or cancel a whole event search, from your workspace. If the venue has already replied, or you cancel a whole search after we have emailed the venue, we will send it a short cancellation note. After an introduction, closing an enquiry only updates Booko and no note is sent, so contact the venue directly about any booking, hold or refund. An event search cannot be cancelled once you have confirmed a venue; cancel the event with that venue instead.
We may decline or delay sending an enquiry where the request is incomplete, the date has passed, it does not pass our automated content check, the venue has asked not to be contacted or cannot be reached at a verified address, the venue is not yet enabled for sending, a limit below has been reached, or we reasonably suspect misuse. We currently limit each event search to five venues, and each account to five new event searches and 15 venue emails per UK day. We may change these limits.
5. Venue replies, verification and AI-assisted reading
Replies are shown in your workspace only after we have checked that they were sent to the unique reply address for that enquiry, from the address we contacted, and passed standard email authentication checks. We keep the original reply and any attachments the venue sent so you can read them yourself.
To help you compare replies we use automated tools, including artificial intelligence models operated by third-party providers, to read each reply and its attachments and extract terms such as availability, minimum spend, prices, deposits, service charge, VAT treatment, inclusions, caveats and menus, together with a short summary. This output is labelled as AI-assisted. It is provided for convenience only and may be incomplete or wrong. It is not advice, not a quotation from Booko, and does not alter what the venue actually said. Before relying on any figure, check it against the venue’s original reply and attachments, and confirm terms with the venue directly.
The venue is solely responsible for the content of its reply and any documents it sends.
6. Choosing a venue
When you choose a venue, we show you a preview of an introduction email. If you approve it, we send it to that venue with the name, email address and optional phone number shown in the preview, and copy you in, so the venue can reply to you directly. Choosing a venue does not make a booking, accept the venue’s terms or pay a deposit, and other venues are not told unless you close their enquiries. You should contact the venue directly to confirm arrangements. Booko has no responsibility for the availability, pricing, quality, safety or delivery of any venue’s services.
7. Venue information and sources
Venue and space information on the Platform is compiled from public sources, venue websites and documents, mapping and ratings providers, information supplied by venues, and replies to enquiries. We show the source and a confidence indicator alongside extracted facts. Information may be out of date or incorrect, and inclusion of a venue does not mean Booko endorses it or has a relationship with it. Always confirm capacities, prices, availability and access requirements with the venue.
8. Venues receiving enquiries
If you are a venue receiving an enquiry from Booko, the enquiry is sent on behalf of an Organiser who has asked us to contact you. Replying to the unique reply address delivers your response into the Organiser’s Booko workspace, where it may be read by automated tools as described above and presented alongside replies from other venues. Do not include information you do not wish the Organiser to see. If the Organiser chooses your venue and approves an introduction, we email you their contact details and further conversation takes place directly between you. Any agreement you reach is with the Organiser, not with Booko. To stop Booko emailing your address, reply STOP to any enquiry. To ask Booko not to contact your venue, or to correct information about your venue, email support@booko.email.
Venues can claim their listing in the venue portal. A venue that does may choose a paid plan, and pays Booko commission on bookings it confirms, under our separate Venue Terms. Organisers always book and pay venues directly. Venues on a paid plan may appear first among equally good matches, always labelled; how we rank results explains this.
9. Acceptable use
You agree to provide accurate information, to use the Platform only to plan genuine events, and not to: submit requests or enquiries you do not intend in good faith; harass venues or Booko staff; attempt to access other users’ workspaces or replies; scrape, copy or resell venue data at scale; interfere with the Platform’s operation or security controls; upload or transmit unlawful, infringing or malicious content; or use the Platform in breach of any law. We may limit the number of venues contacted per request and the rate at which enquiries are sent.
10. Intellectual property
The Platform, including its design, software, text, compiled venue data and branding, is owned by or licensed to Booko and protected by intellectual property laws. We grant you a limited, personal, non-transferable licence to use the Platform for planning your events. Venue names, logos, images and documents belong to their respective owners. You keep ownership of the requests you write; you grant us a licence to store, process and send them to the venues you select and to operate and improve the Platform.
11. Suspension and termination
We may suspend or close your access to the Platform if you breach these Terms, if we reasonably suspect fraud or misuse, or if required by law. You may stop using the Platform at any time and may delete your account. Enquiries already sent cannot be recalled, and we may retain records as described in our Privacy Policy.
12. Our responsibility to you
The Platform is provided “as is” and “as available”. We do not guarantee that it will be uninterrupted or error-free, that any venue will respond, that venue information or AI-assisted readings are accurate, or that any venue will provide services on any terms.
Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any liability that cannot be limited by law. Subject to that, we are not liable for: any act or omission of a venue; any booking, payment, deposit or contract between you and a venue; loss of profit, business, opportunity or goodwill; or any indirect or consequential loss. Our total liability to you arising from or in connection with the Platform in any twelve-month period is limited to £100. Your statutory rights as a consumer are not affected.
13. Changes to the Platform and these Terms
We may change, suspend or withdraw features of the Platform. We may update these Terms from time to time; the current version is always available at booko.deals/legal/terms with its last-updated date. If a change is material we will tell you through the Platform or by email. Continuing to use the Platform after a change takes effect means you accept the updated Terms.
14. Third-party services
The Platform relies on third-party services, including hosting and database infrastructure, email delivery, mapping and ratings data, and AI model providers. Those services are governed by their own terms and we are not responsible for their availability or content. Links to venue websites and other external sites are provided for convenience only.
15. General
If any part of these Terms is found to be invalid, the rest continues to apply. A failure to enforce a right is not a waiver of it. We may transfer our rights and obligations under these Terms to another organisation; you may not transfer yours without our written consent. These Terms and our Privacy Policy are the entire agreement between you and Booko about the Platform. No one other than you and Booko has any right to enforce these Terms. Events outside our reasonable control, such as network outages, provider failures or industrial action, do not put us in breach of these Terms.
16. Governing law and disputes
These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, except that if you live in Scotland or Northern Ireland you may also bring proceedings in your local courts. If you have a complaint, contact us first at support@booko.email and we will try to resolve it with you.
